How to organise your event

The first steps:

  • Contact us to discuss your plans
  • Decide upon a date, select and book a venue
  • Do a risk assessment
  • Notify police/ambulance service/council if necessary
  • Plan how you will promote the event
  • Organise any entertainment you require
  • Invite local dignitaries to attend
  • Seek volunteers to help on the day
  • Contact Action Against Hunger for a press release template
  • Ask local companies for prizes
  • If you have a raffle, check with us if you will need a gaming license

A few weeks before your event:

  • Keep records accurate of ticket sold and money received
  • Send out participant information/tickets
  • Draw up any safety procedures and rotas for the volunteers
  • Plan the timing for the day of the event
  • List and secure all equipment required

Days before:

  • Finalise all of your plans
  • Brief your volunteers on the event and health and safety procedures
  • Final checks - guest lists, equipment etc
  • Send out a final email reminder to participants/guests

On the day:

  • Re-brief all volunteers and check safety procedures
  • Set up your equipment
  • Set up all signs/decorations
  • Register  and collect entrance money or tickets
  • Welcome and thank everyone who has come along
  • Check everyone is safe and enjoying themselves
  • Clear up
  • Bank any money

After the event:

  • Thank everyone involved - volunteers, guests, entertainment, prize donors
  • Collect any outstanding monies
  • Contact us with post event info - event pictures, total raised
  • Transfer the funds to Action Against Hunger

Congratulations! Give yourself a pat on the back and celebrate a successful event!
